Privacy Policy
1. Introduction
UnifyDesk is a service of Mirage Informatique Inc., 686 Grande Allée E #147, Québec City, Quebec G1R 2K5, Canada ("we," "our," or "us"). This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use our platform.
We are responsible for the personal information in your account and on this site. For the records your organization stores in UnifyDesk, your organization decides how they are used and we process them on its behalf, as described in the Data Processing Agreement.
The person in charge of the protection of personal information is the President of Mirage Informatique Inc., reachable at support@unifydesk.app.
2. Information We Collect
Account Data: When you sign up, we collect your name, email address, and password. We also store organization and workspace metadata.
Usage Data: The service records operational and security events. Optional product analytics collect normalized page and feature-usage events after cookie consent.
Content Data: We store the data you create within the platform - conversations, contacts, documents, invoices, tasks, and related content.
3. How We Use Your Information
- Providing and maintaining the platform
- Authenticating users and managing access
- Sending transactional communications (e.g., password resets)
- Improving our product based on aggregated usage patterns
- Complying with legal obligations
4. Data Sharing
We do not sell your personal data. We may share data with:
- Infrastructure provider - OVHcloud hosts our server in Canada (Beauharnois, Quebec). We operate the application, database, file storage, and system email on that server.
- Product analytics services - with your cookie consent only; normalized page and feature-usage events may be associated with a per-user identifier. We do not send record identifiers, names, addresses, message content, document content, or other customer content to analytics
- Payment processors - Stripe, when your organization enables billing or customer-portal payments
- Email & calendar providers - Microsoft 365 or Google Workspace, when your organization connects a mailbox or calendar
- Accounting, messaging & translation services - QuickBooks, Xero, Microsoft Teams, or Phrase (Memsource), when your organization connects the integration
- AI providers (optional) - Anthropic or OpenAI, only for workspaces whose administrator turns AI features on. When an administrator connects their own provider key, we send this data to that provider on your organization's behalf, under your organization's own account and terms. They receive the conversation, its contact and company, and the workspace's knowledge base articles needed for a suggestion, never attachments, and under their API terms they do not train their models on this data
- Law enforcement - when required by applicable law
Mail, calendar, accounting and messaging connections require organization setup. Optional product analytics require user consent. See the DPA for the connected-service categories.
5. Data Retention
Organization owners can configure separate operational-trash, finance/legal, and audit-log retention windows in Settings → Privacy & Data. Finance/legal records default to seven years; applicable law may require a different period.
Subscription cancellation and organization deletion are separate actions. Organization owners can request a data export or organization deletion in Settings → Privacy & Data. Contact support@unifydesk.app about retention and deletion requests.
6. Security
We use TLS in transit, server-enforced tenant isolation, and encryption for stored integration credentials.
7. Your Rights
Depending on your jurisdiction, you may have the right to access, correct, delete, or port your data. You can:
- Export organization records as JSON via Settings → Privacy & Data → Download data export.
- Request organization deletion via Settings → Privacy & Data → Delete organization - owners only.
- Email support@unifydesk.app to exercise additional rights or request assistance.
8. Cookies
Authentication cookies support sign-in. Optional product analytics require cookie consent. You can change or withdraw your choice via Cookie preferences in the page footer. Withdrawing consent also clears the analytics identifier stored in your browser.
